"allwhere delivered exactly what we needed: we’re no longer wasting hours on shipping or chasing down equipment. allwhere handles the entire lifecycle.”
As a distributed company with headquarters in Boston and team members nationwide, Simspace faced a challenge many growing tech companies know well: how to efficiently deploy and retrieve IT equipment for remote employees.
The Problem
Before allwhere, Simspace’s IT equipment process was completely manual and unsustainable. Our Boston-based IT team would image computers, then physically walk to FedEx—often through harsh Boston weather—and pay hundreds of dollars to ship each laptop to new hires across the country.
Equipment retrieval was even worse. When employees left, we dealt with messy email back-and-forths with departed employees and a growing pile of unreturned assets accumulating in the office.
The breaking point came when we planned a company laptop refresh project. "There's no way we were going to buy 50 laptops, send them to the office, get them ready, and then take them all to FedEx and coordinate it," recalls IT Team Lead Dan Nguyen. "IT's job is not to figure out shipping logistics."
The Solution
allwhere offered the most accessible solution for a medium-sized business like ours. "allwhere had the lowest barrier to entry," Dan notes. "I didn't have to convince somebody on my side to pay this big fee upfront just to get started. It was an easy sell with finance."
The consumption-based model was particularly appealing. "We only pay for what we use," Dan explains. "We were paying that amount anyway, and we just gained a partnership from it."
The Results
Today, allwhere handles our complete IT equipment lifecycle: new hire deployments, equipment retrieval from departing employees, our ongoing refresh project, and even peripheral packages with monitors, keyboards, and mice.
The platform provides a complete paper trail for every asset movement—invaluable when tracking equipment or preparing for audits. "You don't know you need it until you really do," explains Dan. "When someone says 'hey, we have an issue. Can we track the movement of this asset?' it's a relief to be able to say 'Yeah, actually. We can.'"
Beyond logistics, allwhere handles laptop sanitization and preparation for redeployment, and we can even resell end-of-life assets to recoup costs. The partnership is built on same-day response times and proactive collaboration.
The Bottom Line
"If you're a lean team wasting your time going back and forth to the store, allwhere is a no-brainer. The numbers make sense." For Simspace, working with allwhere has meant getting the IT team back to doing actual IT work.
